Exhibit November 4th at AccomEx 2025 – Western Canada’s Premier Outdoor Hospitality Trade Show

The BC Lodging and Campgrounds Association (BCLCA) and the Canadian Camping & RV Association (CCRVA), in collaboration with our partners in Alberta, Manitoba, and Saskatchewan, are proud to invite you to exhibit at AccomEx 2025!

Held in conjunction with the Western Ideas Forum, AccomEx takes place on November 4, 2025 and is the must-attend trade show for campground, RV park, and resort operators across Western Canada.

Step by Step: Sign Up For Your Booth Now

  • Step 1

    Submit the exhibitor application form linked above.

  • Step 2

    Complete the form fields to submit your desired booth size and other requirements.

  • Step 3

    We’ll email you! Our team will connect to finalize your options, and generate your invoice and agreement.

  • Step 4

    Pay your invoice. Once we receive your payment we will issue a confirmation.

  • Step 5

    Complete the exhibitor company registration process included in your confirmation email. A unique access code will also be included and required.

  • Step 6

    Note important dates and information from the exhibitor’s kit (downloadable PDF is accessible above), as outlined below.

  • Step 7

    Ensure submission of Certificate of Insurance.

  • Step 8

    Contact service providers if necessary for shipping and receiving, electrical and furnishing needs, and any other logistics.

  • Step 9

    Booth setup is Monday, November 3, 2025 from 12:00 pm to 6 pm. Employee badges must be picked up from the registration desk at this time. AccomEx opens to attendees on Tuesday, November 4, 2025 from 9 am – 4 pm.

BCLCA/CCRVA staff will be on site at St Eugene Golf Resort from November 3 to November 5

Badges

All exhibitors attending the event must have a badge. Please see BCLCA/CCRVA staff to pick up your badges. Please ensure that you have supplied all attendees names prior to the event. 10’ by 10’ booths are limited to 1 person. 10 by 20’ are limited to 2 people.

The additional cost per additional attendee is $250.00 plus GST.

Insurance

Each exhibitor must provide proof of insurance covering them for the entire duration of the show, including move-in and move-out. Coverage for liability of a minimum of $2,000,000 is required.

  • 10 by 10 booth – BCLCA or CCRVA Suppliers* $750.00
  • 10 by 10 booth – Non-Member Suppliers – $1,250.00
  • 20 by 10 booth – BCLCA or CCRVA Supplier* $1200.00
  • 20 by 10 Booth – Non-Member Suppliers – $1,700.00

*Discount only applies to BCLCA or CCRVA suppliers in good standing as of September 30th.

Price includes 1 or 2 attendees for duration of trade show. 

Pricing for additional attendees is $250 per person.

10’ by 10’ booths are limited to 1 additional attendees. 20’ by 10’ booths are limited to 4 attendees in total.

Show Details

Show Move In and Out Times

  • Move in Monday, November 3 from 12:00 pm to 6:00 pm
  • Booth set-up must be completed by 6:00 p.m. on Monday, November 3, 2025.
  • Move-out – Booths must be torn down after the AccomEx show and vacated by 6:00 p.m. on Tuesday, November 4, 2025.

AccomEx Show Agenda

  • Show open Tuesday, November 4  9:00 am – 4:00 pm.
  • All exhibitors must be in their booths.
  • Exhibitors are invited to have breakfast and lunch with attendees.

Exhibitor Rules, Regulations and Information

All exhibitors must register onsite with the show organizer before setting up their booths.

Each exhibitor must provide proof of liability insurance covering the entire event period, including move-in and move-out days. Minimum coverage: $2,000,000. Insurance Requirement

Exhibitor badges must be worn at all times for security and access purposes.

Booth displays must fit within allocated space and not obstruct neighboring booths.

Audio-visual displays must not exceed a reasonable noise level.

Fire and safety codes must be strictly followed. 

Exhibitors requiring booth-specific AV (e.g., screens, speakers, microphones) must supply their own equipment .Onsite AV is reserved for conference-wide sessions only.

Shipping, Handling and Storage

All shipments must be labeled with the Western Ideas Forum AccomEx 2025 Exhibitor Shipping Label. 

On-site storage for empty crates is available. Contact the venue, [details below], for advance shipment services.

On-site storage available: $25/day.

St. Eugene staff will not sign for exhibitor shipments. Exhibitors are responsible for arranging their own shipments to arrive no earlier than November 1, 2025. Please contact the venue directly to coordinate
delivery and storage needs.
